What is the checklist for Import process? How do I prepare source files for importing?

Import feature allows to upload data from external systems into AgileWrap. You can import user stories, tasks and defects from .csv files. If you are importing all type of items (User stories, Tasks and Defects) then you should first import User Stories. In the next step, you can import Tasks or Defects.

The person running the import process should have Import privileges. Import privileges are granted to the users with Administrator, Manager and Member roles by default. If you do not have the privileges to import the data then Import link will not be visible to you.

Here is Import Checklist: Please prepare the source files as per the following specifications -

  • Source File Format
The file to be imported must be a comma-separated file in .CSV format and ASCII or UTF-8 encoding. The file name usually has .txt or .csv extension in the Windows environment. The first row of the source file contains the column headings or field names rather than the actual data values. These field names map the data (in the following rows) of the source file to the AgileWrap fields for user stories, tasks or defects. You can download sample source files from Import Data Wizard (Import Data- Define Import Criteria page).
  • File Size
Make sure the source file size does not exceed 2MB. If you have a source file exceeding 2MB then please split it into multiple files and import one file at a time. Once the import process starts, please wait until completion.
  • Pre-defined List
Source file rows should have pre-defined values for Priority, Status, Resolution and Blocked fields. For instance, if you are importing user stories then the Priority value of each source row should be Urgent, High, Medium, Low or Undefined. If Priority field of the source row does not match with these values then an error message would display at the time of import. Once you fix the source file rows, you can import the data successfully in AgileWrap.

  • Date Values
The date value in the source file rows must be in MM/DD/YYYY format. Date values in any other format will give error message upon importing.
  • Mandatory Fields
The source file rows should always have values in the fields that map to the mandatory fields of WRAP. If the value is missing in the source file row then error message is displayed indicating the missing field name in the source file row. Here is the list of mandatory fields.

  • Reference Fields
In order to build the references, make sure that the reference fields in the source file rows have values already existing in your AgileWrap account. For example when importing data for user story row, the user name (first name and last name) used in Owner, Reviewer, Reporter fields should already exist in AgileWrap system, or you will get error message.

How can I convert a source file to UTF-8 encoding for importing the data in AgileWrap?

  • Prepare the source file as per source file specifications.
  • Make the source file 'comma' separated if it is not yet done. Use the following steps to do so:
  • Import the source file in Excel using Data tab on top menu. Do not use File>Open in Excel. Do not open the file by double clicking.
  • Choose 'delimited by semi colon' before opening the file. Now save the file as .csv file.
  • Open the .csv file in Notepad. Click File>>Save As. In the pop up window, select 'UTF-8' for Encoding drop-down in the bottom (shown in yellow highlighter in the enclosed image). Now save the file.

How can I import non-ASCII (non English) data in AgileWrap?

You can import non-ASCII data in AgileWrap if the source file is in UTF-8 Encoding. Click here to learn how to convert the source file in UTF-8 encoding.




How can I import user stories in AgileWrap?

Click on Plan File:Arrow right blue.png User Story tab on top level menu and go to [User Story] page. Next click on File:ImportLink.png link on top right to open the Import Data Wizard.


Note: It is necessary to go through the Import Checklist and create the source file as per the criteria specified to perform successful import.

  • On Import Data wizard, select the project from the drop-down or create a new project if the project does not exist in AgileWrap.
  • Next, upload the source file.
  • Select the criteria for handling the duplicate records and click File:NextStepButton.png.

Note: You can download the template to create the source file. We recommend running the import using a sample source file, and uploading data in a temporary project as a trial before uploading actual data.

  • Select source file columns from the drop-downs to map to the AgileWrap fields. Do NOT map one source file column to multiple AgileWrap columns.
  • Review the mapping. If mapping is ok, then start the import process by clicking File:ImportFileButton.JPG.

Note:

  • Ensure that mandatory fields (with * next to the names) of AgileWrap are always mapped to the fields in source file.
  • Once Import process begins, you cannot cancel it. After the data is imported, you cannot rollback the data.

  • Once the import process starts, Import History page displays. You can click on the Status field, and view the detailed import data results.
  • Import Data- Results page displays the total number rows that are imported successfully. Specific error messages display for the source file rows that are not imported. To upload the full dataset of source file, correct the errors in source file rows, and Import the file again with Overwrite option on the first page of Import Data Wizard.

Note: You can open Import History report by clicking Dasboard File:Arrow right blue.png Reports on top menu, and view import processes status any time.

How can I import tasks in AgileWrap?

Import data results can be viewed on Import History report under Analyze File:Arrow right blue.png Reports. Import results display the number rows that are successfully imported. Specific error messages display for the source file rows that are not imported. To upload the full dataset of source file, correct the errors in source file rows, and Import the file again with Overwrite option on the first page of Import Data Wizard.

How can I import defects in AgileWrap?
